How to Plan a Group Trip with Trova
The easiest group trip you'll ever plan
Once you’ve created your TrovaTrip Host Account, you get to start the exciting part...planning your trip! Our dedicated team of Trova elves have worked hard to make planning the perfect trip for your and your community a breeze. In fact, there are just a few easy steps to take in getting your trip up and running.
Step 1: Choose the perfect itinerary
Next up, you get to choose the itinerary that best fits you and your community’s vibe. Our Itinerary Library has over 100 professionally designed options, so whether you’re an outdoor enthusiast dreaming of a backpacking trip in Patagonia or a history buff eager to explore ancient Egypt, there’s something for everyone.
But when choosing an itinerary, there is a lot more to consider than just the destination. For example, where would your community like to travel? Or what about how much they can afford to pay for a vacation?
If you’re not sure where to start, you can always use the TrovaTrip Survey tool. The easiest way to collect insights from your audience on what they are looking for in a trip.
The survey takes only about 2 minutes to fill out, and can provide you with essential info like:
- Top destinations
- Travel budget
- Preferred time of year to travel
- Age
- Gender
All you have to do is share the link to your Host Profile Page wherever your community is most active — think Instagram, Facebook Groups, email lists, etc. — and invite them to share their thoughts. More ideas for how to share your link on social and mailing list here!
TLDR; surveying your community is a great way to get them excited and involved early, and allows you to plan the perfect trip based on more than just assumptions. And you know what they say about assumptions… 🍑
Step 2: Reserve your trip
Sign in to the Portal and select the itinerary you want. There, you can see what dates are available. When you find some that look good, double check your calendar and reserve 👏 that 👏 trip! 👏
A few things you’ll be asked during the reservation process include…
- How many Travelers you're willing to have
- Remember: a minimum of 10 bookings are required for most itineraries, but many Hosts welcome 12-20!
- If you're bringing a +1
- A Host’s companion is free of charge. The cost for their spot will be priced into the trip
- If you have personal dietary restrictions, etc. that our Operating partner will need to be aware of
Keep in mind that you’ll want to reserve a trip at least 6+ months in advance for mini trips or domestic travel, and 8+ months in advance for international travel so your audience will have time to get time off work, book flights, and prepare.
Then hit that “Reserve’’ button and you’re off to the races! Be sure you read up on promotion techniques so you’re prepared to collect at least 2 bookings over the first 14 days post-Launch. No bookings will lead to a cancelled trip and we don’t want all your hard work to go to waste!
