All About TrovaTrip’s Cancellation Policy

Your guide to cancellations, refunds, and peace of mind

We get it—life happens. And when it does, it’s helpful to know your options. Whether your trip is still months away or just around the corner, here’s how cancellations work depending on your trip status and timing.

Spot Pending

100% Refundable

If your spot is marked as Pending, you’ll receive a full refund—no fees, no stress.

Here's Why

When a trip is still in the Pending stage, it means it hasn’t yet reached the minimum number of Travelers for it to run. Since the trip isn’t Confirmed, our Operating Partners may have begun preliminary bookings, but final logistics and accommodations won’t be locked in until the trip is Confirmed. Many trips do Confirm within a few months—but while it’s still pending, it’s easier to cancel because full planning hasn’t kicked off behind the scenes.

Spot Confirmed with 91 or More Days to Go

Partial Refund + Future Credit

If your spot is confirmed and your departure is more than 91 days away, here’s what to expect:

  • You’ll receive a TrovaTrip credit for the amount of your down payment, minus a $100 cancellation fee per Traveler.
  • Your credit is valid for 1 year from the date it’s issued and can be used toward any future Trova Trip. This gives you the flexibility to find another adventure if something unexpected comes up.
  • Any payments made beyond the 25% deposit will be refunded to your original form of payment.

Here's Why

Confirmed means your trip is officially happening—exciting stuff! At this stage, our Operating Partners are locking in accommodations, activities, and all the logistical details to bring your itinerary to life. Your Host has been rallying the group, and momentum is building. Every trip is different, and a lot goes into bringing yours to life. By this stage, commitments have been made to our Operators and local partners, which is why the trip is no longer refundable.

Spot Confirmed with 90 Days or Less to Go

Non-Refundable

Once your trip is 90 days away, all payments become non-refundable.

Here's Why

At this point, your trip is truly in motion, and we’re committed to making it unforgettable—even if you can’t make it. Our Operating Partners are finalizing every detail on the ground: securing and paying suppliers, coordinating with your local Guide, booking transportation, and triple-checking logistics to ensure everything runs smoothly from start to finish.
